GroWrk handles employee laptop procurement and shipping in the UK from its own UK warehouse: it sources, configures, stores and ships company laptops to employees anywhere in the UK, then retrieves, wipes and redeploys them when people leave, on the same platform it runs in 150+ countries.

Devices already held in the UK warehouse ship pre-enrolled within 1–2 business days; newly procured devices reach UK employees in 3–7 days depending on location and shipping method.

Other providers that can deliver company laptops to UK employees include Deel IT (device logistics bundled with its HR platform), Workwize, Firstbase and allwhere (device-lifecycle platforms), and CDW UK (a reseller with a configuration centre).

This guide explains what separates them and what IT and operations leaders at distributed companies should check before choosing a partner for IT procurement in the UK.

All six can put a laptop in a UK employee’s hands. The differences are in what happens before the box ships (enrolment, stock), where the device sits between hires (storage), and what happens when the employee leaves (retrieval, wipe, redeployment). Those three stages come up more than anything else when IT teams talk to us, and they’re where most UK rollouts succeed or fail. How Does GroWrk Source and Ship Laptops to UK Employees?

GroWrk has operated its own warehouse in the UK for years, and the UK runs on the same lifecycle workflow as every other GroWrk country. The process for a new UK hire looks like this.

Sourcing. GroWrk procures business-grade laptops in the UK (Apple, Lenovo, Dell, HP and others, in UK keyboard layouts) or draws from buffer stock the customer already holds in the GroWrk UK warehouse. Because devices are sourced or held in-country, there is no import step: no GB EORI paperwork, no import VAT collected at the door, no customs delay.

Enrolment before shipping. Devices are prepared for Apple Business Manager (now “Apple Business”), Windows Autopilot or the customer’s existing MDM (Intune, Jamf, Kandji and others) before they leave the warehouse, so the laptop boots into company policy at first login. Microsoft’s own guidance says that “ideally, the OEM, reseller, or distributor performs” Autopilot registration on the organisation’s behalf; that is the model GroWrk follows for Windows, and it does the equivalent reseller submission for Macs.

Assignment and tracking. The serial number is tied to the employee in the GroWrk platform before dispatch, and the asset record (model, serial, accessories, status, location) syncs to the customer’s HRIS, MDM and ITSM through 40+ integrations. IT sees tracking inside the same platform rather than on a courier site.

Delivery. Devices already in the UK warehouse ship pre-configured within 1–2 business days as part of IT onboarding. Newly procured devices reach the employee in 3–7 days depending on location and shipping method, with express options of 2–5 days. Support responds in under an hour.

Retrieval and redeployment. When someone leaves, GroWrk handles the collection with pre-paid packaging or courier pickup, receives the device back into the UK warehouse, wipes it with a certified erasure process aligned to UK GDPR and WEEE requirements, and either stores it for the next hire, resells it or recycles it. GroWrk’s laptop retrieval service quotes 7–14 business days end to end and reports more than 50,000 devices recovered globally.

The result is a UK operation that runs in both directions, warehouse to employee and employee back to warehouse, rather than a one-way shipping service. That matters more than it sounds, because storage and retrieval are the two most common things buyers ask about before they ever ask about coverage.

What Does Compliant UK Laptop Procurement Actually Require?

Four things, and a provider that sources locally handles the first three for you.

Import VAT and duty. Laptops fall under UK tariff heading 8471 and enter duty-free, but import VAT at the standard 20% rate is charged on landed value when a device crosses the border. Sourcing in the UK avoids the import step entirely; if you do ship from abroad, insist on Delivered Duty Paid so the employee is never asked to pay VAT at the door.

How import VAT, duties and the importer of record work across borders is covered in the international procurement process.
  • EORI. Any business moving goods between Great Britain and another country needs an EORI number. This only applies if you import; it disappears when the provider sources locally.

  • Data protection at end of life. The Information Commissioner’s Office expects organisations to “keep records showing secure disposal of hardware assets (eg destruction logs and certificates)” and to obtain certificates from any third party that destroys hardware on their behalf. Your provider should issue a certificate of erasure per serial number without being asked.

  • WEEE. End-of-life laptops fall under the UK WEEE Regulations, so disposal has to run through a compliant resale, refurbishment or recycling route with a documented chain of custody.

What Do Buyers Actually Evaluate When Choosing a UK Laptop Provider?

When IT teams talk to us about UK laptop providers, the same three questions come up more than any others: where devices are stored between hires, how laptops come back when someone leaves, and whether devices arrive already enrolled in MDM. Speed matters too, and so does certified wiping, but those three usually decide the choice.

Coverage is rarely the deciding factor in the UK, because every provider above claims it. It gets a provider into the first meeting; storage, retrieval and enrolment decide who wins the deal.

That’s where the differences show. A reseller can source the right laptop quickly, but if enrolment in your MDM happens afterwards, every new hire waits extra days. Ask each provider to show you, step by step, what happens between the order and the employee’s first login.

How Do UK Laptop Providers Differ on Pricing?

UK laptop providers rarely differ most on the price of a laptop. They differ on the shape of the commitment: what you pay for, and what you pay for even when nothing is happening.

There are three common models. Some providers charge per employee in your HR system, whether or not that person has a device. Others sell an annual commitment for a whole region, such as EMEA. A third group charges per device or per order. The first two are predictable but can mean paying for people and capacity you don’t use. The third tracks what you actually ship, but costs move with your hiring.

GroWrk offers two options: A La Carte, with free platform access and a charge for each order you place, and Flex, a subscription with a predictable SaaS fee and flexible pricing for device movements. When you compare UK providers, ask exactly what the fee is attached to, and what a forty-laptop UK rollout would cost under each model.

GroWrk pricing is based on devices under management, so a UK rollout of forty laptops costs forty devices’ worth, not an EMEA contract.

How Long Does It Take to Get a Company Laptop to a UK Employee?

It depends on whether the device is already in the country. Providers sometimes quote warehouse-to-door speed as if it applied to every order, so ask for both numbers separately.

Scenario

What has to happen

GroWrk UK timeline

Device already in GroWrk’s UK warehouse

Configure, enrol, pick, pack, ship

1–2 business days

Device procured new in the UK

Source, receive, configure, enrol, ship

3–7 days (express 2–5)

Device shipped from another country

Export, customs, import VAT, delivery

Add 1–3 days for customs, more if paperwork is incomplete

Holding a small buffer of your standard models in the UK warehouse (for example eight standard laptops, four engineering machines and two executive builds for a team hiring around ten people a month) moves every routine onboarding into the first row.

→ The same logic applies in every country you hire in. If the UK is your first market of many, global IT procurement covers how sourcing, customs and lead times change from one country to the next.

Which UK Laptop Provider Is Right for Which Company?

  • Choose GroWrk if your team is distributed and you want the UK to run as part of one global lifecycle: local sourcing, UK warehouse with buffer stock, enrolment before shipping, direct-to-employee delivery, retrieval back into the same warehouse, certified wiping, redeployment and disposition, all on a platform that runs identically across 150+ countries and integrates with your HRIS, MDM and ITSM.

  • Choose an HR-bundled provider such as Deel IT if you already run payroll, EOR or contractor management on that platform and consolidating vendors matters more than device-management depth. Check the pricing unit carefully, because it usually follows the HR model.

  • Choose a reseller or OEM direct (CDW UK, or Apple, Dell, Lenovo and HP directly) if your workforce is mostly in the UK, you standardise on a few models, and internal IT is happy to own configuration, inventory, repairs and retrieval. You don’t need a lifecycle provider because your team is remote; you need one when the operational load justifies it.

→ For a broader shortlist that includes service-led options outside the UK, compare IT hardware procurement services.

What Should an RFP for UK Laptop Procurement and Shipping Ask?

Eight questions separate a shipping service from a lifecycle provider.

  1. Do you operate your own UK warehouse, and can we hold company-owned buffer stock there?

  2. Is every device registered in Autopilot or Apple Business and enrolled in our MDM before it ships?

  3. Can you source our exact approved SKUs, including UK keyboard layouts and CTO configurations?

  4. What are your separate SLAs for stocked devices and new procurement?

  5. Can returned laptops come back to the same UK facility, be wiped with a certificate per serial number, and be redeployed to the next hire?

  6. What is your on-time retrieval rate and how is it measured?

  7. Do we pay per device under management, per employee, or per region per year?

  8. And can this exact workflow run in the next ten countries we hire in?

Write the answers into your procurement plan so every provider is scored on the same terms.

Frequently Asked Questions on UK Laptop Procurement Providers for Remote Teams

Which providers can source and ship company laptops to employees in the UK?

GroWrk sources, configures, stores, ships and retrieves company laptops for UK employees from its own UK warehouse, as part of a platform covering 150+ countries. Deel IT, Workwize, Firstbase and allwhere also deliver to UK employees as lifecycle services; CDW UK and OEMs sell and configure hardware but leave employee-level logistics and retrieval to the customer.

How do you ship a company laptop to an employee in the UK?
The simplest route is to have a provider source the laptop in the UK, enrol it in your MDM and deliver it to the employee’s home, so there’s no import step and no VAT charged at the door. If you ship from abroad, use Delivered Duty Paid terms and plan for customs. Ask providers for separate timelines for stocked and newly bought devices.
Does GroWrk have a warehouse in the UK?

Yes. GroWrk operates its own UK warehouse and has done so for years. It holds customer buffer stock, configures and enrols devices before shipping, receives returned laptops, wipes them with certified erasure and redeploys them to the next hire.

How fast can a company laptop be delivered to a UK employee?

From GroWrk’s UK warehouse, stocked devices ship pre-configured within 1–2 business days. Newly procured devices arrive in 3–7 days depending on location and shipping method, with express options of 2–5 days. Shipping from abroad adds customs processing and import VAT handling.

Do you pay import duty on laptops shipped to the UK?

Laptops under tariff heading 8471 are duty-free into the UK, but import VAT at 20% is charged on landed value and the importer needs a GB EORI number. Sourcing in the UK through a provider avoids the import step altogether.

Can laptops be enrolled in MDM before they reach the employee?

Yes. GroWrk registers Windows devices for Autopilot and submits Macs to Apple Business before dispatch, and enrols devices in Intune, Jamf, Kandji or other MDMs, so the laptop boots into company policy on first login with no IT touch.

What happens to a UK employee’s laptop when they leave?

GroWrk sends pre-paid packaging or arranges courier pickup, tracks the return, receives the device into its UK warehouse, verifies the serial number, wipes it with a certified erasure process aligned to UK GDPR and WEEE rules, and stores, redeploys, resells or recycles it. Retrieval typically completes in 7–14 business days.

Should a remote company hold laptop inventory in the UK?

If UK hiring is predictable, yes. A small buffer of standard models in a UK warehouse turns onboarding from a procurement event into an assignment, with delivery in 1–2 business days instead of a week.

Should pricing be per device or per employee?

Per device under management charges for what the provider actually handles. Per-employee and per-region-per-year models, which buyers in GroWrk’s call data describe as the main reason they resist a vendor, charge for people who may never hold a device or for coverage before a rollout has proven itself.

Can GroWrk take over laptops we already own in the UK?

Yes. GroWrk registers existing devices, stores or redeploys the good ones, retires the rest with certified wipes, and sources new UK laptops only where needed. In our call sample, 27% of new-business conversations started with an existing fleet rather than a greenfield rollout.

Does GroWrk lease laptops in the UK?

GroWrk leases devices in the US only. For UK teams the equivalent lever is buyback and redeployment of recovered devices, which is also the question roughly one in ten buyers raises unprompted.
