When is a laptop actually “recovered”?

A laptop return is complete when the correct asset has been received, its condition recorded, and its next action assigned. “Package delivered” is not that. An empty box, the wrong serial number, or a laptop left on a shelf unwiped will all close a carrier’s tracking page without closing your offboarding task. A retrieval service is accountable for the verified asset, where a courier is accountable only for the box.

Why some vendors report 100%. A retrieval rate depends on what gets counted. If an order is cancelled once the former employee refuses or stops responding, and cancelled orders leave the denominator, any vendor’s rate approaches 100%. Published roundups quote Firstbase at both 95% and 97% and Workwize at 100%, without definitions. GroWrk reports customer recovery rates up to 95%, a rate that counts the difficult returns rather than excluding them. Ask every vendor, including us, which orders are in the denominator and how many devices the figure covers.

Why the shape of the price matters more than the sticker

In our calls, buyers almost never say “expensive.” They say “Every time I want to deliver a laptop or retrieve it, I pay $85,” or they object that a user with no device still costs a license. Those are complaints about how the price is structured.

Here is an illustration using third-party-reported figures. A 200-person US company on a per-seat plan at $8 to $20 a month pays $19,200 to $48,000 a year whether or not anyone leaves. At 15% annual turnover, that company has 30 exits. At roughly $100 per pay-per-use retrieval, the retrieval spend is about $3,000.

What makes US retrieval different from the global listicles

You usually can’t hold the paycheck. Federal law bars deductions that push final pay below minimum wage. Several states, California among them, sharply restrict deducting unreturned equipment at all. Persistent follow-up and a documented contact trail have to do the work instead. This is not legal advice, so check your states with counsel.

Pickup versus drop-off. A service that sends a courier to the door will recover more devices than one that requires an ex-employee to drive to a carrier store. Ask which one you’re buying, and whether the employee needs a printer.

ZIP codes, not country counts. Confirm Alaska, Hawaii, rural addresses, PO boxes, and Puerto Rico at the quoted rate. Retriever’s published terms, for example, exclude PO boxes and US territories.

Layoffs arrive in batches. Confirm bulk handling before you need fifty kits in one week.
