Seamless device recovery: GroWrk’s Jira-integrated order management

Managing IT assets across multiple platforms creates friction and delays. You might use Jira to track IT service requests, such as identifying devices that need repairs or replacements, but executing those actions often requires switching to another platform. 

With GroWrk’s Jira integration, you can now place and track Collect for Maintenance orders directly from your Jira account—bridging the gap between service requests and action, all in one workflow.

Getting started with Jira-integrated order management

Before starting, ensure your GroWrk account has admin permissions to enable the integration. With the proper access, your team can seamlessly connect Jira to GroWrk and streamline order management without disruptions.

Setting up the integration

  1. Enable the Jira integration in GroWrk: Navigate to Integrations in your GroWrk account, select Jira, and click Get Started.
  2. Generate an API Token in Jira: Log into your Atlassian account, go to Security settings, and create an API token to authorize the connection.
  3. Configure the integration in GroWrk: Enter your Jira credentials and API token in GroWrk and select Set Up.
  4. Create an API key: Go to the Developers tab of your GroWrk Dashboard and select Create API Key and then choose the options api.orders.create, api.orders.getAll, and api.orders.update and then hit Confirm.
  5. Set up a webhook in Jira: Create a webhook that listens for ticket events and syncs order data with GroWrk. Set the following fields:
  • URL: https://io.growrk.com/api/webhooks/jira/ticket-event?apiKey={GW_API_KEY}
  • Issue related events/JQL: labels = GroWrk AND labels not in (order-created, order-failed)
  • Issue related events/issue: created, updated

Creating an order in Jira

After the integration is complete, your team can create and track Collect for Maintenance orders directly within Jira.

  1. Open Jira and create a new ticket.
  2. Enter order details in the description:
    • Type: Specify the order type (e.g., Collect for Maintenance).
    • SN: Provide the serial number(s) of the asset(s) being returned.
    • Notes (optional): Add any relevant details, such as pickup location or special instructions.
  3. Select Create
  4. Select the ticket and add the label "GroWrk" to the ticket.
  5. The GroWrk and Jira ticket interaction results will be displayed. The ticket will automatically update with an order confirmation.

Tracking order status in Jira

  • Successful orders: When successful, there will be a new comment on the ticket stating that the order has been created. A new order-created label will also be shown on the ticket.
  • Failed orders: If there’s an issue, the latest comment will state the reason for failure, and the ticket will be given an order-failed label
    • Follow up on the failure based on the stated reason. For example, if the employee’s address is missing, update it in your Dashboard.
    • Go back to the Jira ticket and remove the order-failed label.
