Best IT Asset Management Platforms for Device Retrieval

Written by GroWrk Team | Oct 30, 2026, 7:16:30 AM

The best IT asset management platforms for device retrieval start a return automatically when an employee is terminated, show which milestone of each return is overdue and who owns it, and collect devices in every country you employ people, including devices they didn't sell you. Tracking alone isn't enough: in GroWrk's own operation, 44% of open retrievals are waiting on someone rather than moving.

  • GroWrk: best overall for global retrieval and existing distributed fleets. Retrieval in 150+ countries, triggered from your HRIS or scheduled by date and time zone, with recovery and exception statuses, delayed-status notifications and failed-pickup records on every order. 14,708 retrievals run since 2022.
  • Firstbase: best for structured return milestones in established markets. Daily HRIS sync starts the return the day after termination; nonresponsive cases close as "not returned" after about four weeks.
  • Rippling IT: best for Rippling customers in the US, Canada, UK, EU and Australia. Retrieval starts the moment someone is offboarded, and a workflow can alert IT when a device is overdue.
  • Deel IT: best for policy-based recovery inside Deel, including devices you already own, across 130+ countries.
  • Workwize: best for Europe-centered teams that want HRIS-triggered returns with escalation messages and outstanding-asset reports.
  • allwhere: best for US and Canada teams that want managed retrieval communication billed per transaction.
  • Retriever: best for adding a pay-per-return service to an existing IT stack, from $95 per laptop.
  • AssetSonar: best as the custody record that a retrieval provider updates.

Our recommendation: start with GroWrk if your employees are spread across many countries or you need to bring an existing fleet into view and through retrieval, wipe and reuse. If you run Rippling or Deel for HR and only employ people where they collect, test their built-in retrieval first.

About this comparison: Published by GroWrk, which makes one of the platforms listed. Rankings draw on public product pages and help-center documentation checked on October 29, 2026, GroWrk's analysis of 3,977 buyer calls and its own retrieval data. They are not an independent benchmark. Features depend on plan, configuration and country, and the alert thresholds below are buying criteria, not vendor defaults.

Comparison: device retrieval features by platform

GroWrk, Deel IT and Workwize are the only three that both start returns from HR events and collect in 100+ countries. Coverage and features are vendor-documented; a reminder to the employee, a shipping exception and an alert assigned to your IT owner are different things, so the table separates them.

Platform Starts retrieval on termination Stall detection and follow-up Existing fleet Collection coverage Pricing model
GroWrk HRIS event, or scheduled offboarding by date, time and time zone Recovery and exception statuses, delayed-status notifications, failed-pickup records; GroWrk owns the chase Yes: import as company-managed, transfer to GroWrk when you order a service 150+ countries Pay-as-you-go or per device
Firstbase Daily HRIS or identity sync; starts the day after the termination date Order, kit and item statuses; outreach, then admin contact, then closed as "not returned" Yes, including legacy fleets Not published Through AppDirect advisors
Rippling IT Instantly on Rippling offboarding Return reminders; workflow alerts IT by email, Slack or notification when overdue Requires Rippling Device Management US, Canada, UK, EU, Australia Custom, bundled
Deel IT Workflow starts when a worker becomes Offboarded Workflow history and email alerts when a workflow fails Yes, devices already in the field 130+ countries Per user
Workwize HRIS offboarding event Reminders, escalation messages, outstanding-asset reports Yes 100+ to 130+ countries Per seat plus platform fee
allwhere Workday and other integrations, or dashboard Tracking updates, employee communications, reminders when late Yes, sync existing inventory Not published Per transaction
Retriever Your own API or ITAM integration Shipment tracking; company notified after the final employee reminder Returns only Self-service markets; others on request From $95 per laptop
AssetSonar No Custody confirmation requests Yes, as records Software only Per asset

Which global IT asset management platforms track device returns and flag stalled retrievals?

GroWrk tracks device returns across 150+ countries with recovery and exception statuses, delayed-status notifications and a record of every failed pickup attempt in the order history, and its team owns follow-up. Rippling can alert IT by email, Slack or notification when a terminated employee's device is overdue, in the countries it serves. Firstbase documents order, kit and item statuses and a timed escalation for nonresponsive employees. Workwize advertises escalation messages and outstanding-asset reports, allwhere and Retriever send employee reminders, and Deel IT alerts you when a recovery workflow fails to run.

Those cover different failure points. Buyers care: in GroWrk Call Intelligence, an analysis of 3,977 customer calls from April 2024 to August 2026, buyers raised offboarding and retrieval before any GroWrk rep did in 795 calls, or 22.6%.

What 14,708 retrievals show about where returns stall

GroWrk has initiated 14,708 device retrievals since September 2022, currently about 375 a month. Of those that reached a resolved state, 13,101 completed and 1,087 were cancelled, a 92% completion rate (cancellations include customer changes and duplicate records, not only failed recoveries).

  • 44% of open retrievals are waiting on someone, not in transit or being processed. A tool that only reports "label created" is blind to almost half its pipeline.
  • The employee is the bottleneck, 2.5 to 1. At the time of analysis, 123 open retrievals were waiting on the departing employee and 49 on the customer's IT team. The box has often arrived; the laptop hasn't been handed over.
  • Retrieval is global by default. A 200-order sample of recent retrievals came from 34 countries.
  • Exceptions continue after arrival. Among 1,423 logistics exception tickets GroWrk logged between June 25 and October 8, 2026, across all order types and deduplicated by order and type, 264 involved unresponsive former employees, 203 missing details and 197 locked devices. A laptop can reach the warehouse and still not be reusable.

What stalled retrieval alerts should actually detect

A useful alert names the milestone that didn't happen, how long it's overdue, the accountable owner and the next action. "In progress" is not enough. The thresholds below are example acceptance criteria to agree with your vendor by country and carrier, not platform defaults or industry SLAs.

Retrieval problem Example alert rule Next action
Employee hasn't confirmed details No confirmation within 2 business days of permitted contact Validate contact details; route to the retrieval owner
Kit arrived, device not handed over No carrier acceptance within 3 business days of kit delivery Contact the employee; arrange another handoff or a courier pickup
Pickup failed A failed pickup is recorded Record the reason, confirm availability, book another attempt
Shipment stopped moving No carrier scan beyond the route's agreed exception window Open a carrier investigation with a next-update deadline
Delivered but not reconciled No serial-number match within 1 business day of receipt Receiving facility verifies contents and records discrepancies
Can't move into reuse Unlock code, approval or another prerequisite missing Assign the blocker to its owner and keep any hold in place

Only meaningful events should reset a timer; a routine email shouldn't make an overdue shipment look active. Alerts also need a stop condition: reminders end when the device is reconciled or given another approved outcome. And an unrecovered device should stay visible even after a service ticket closes, because closing a ticket is not recovering a laptop.

Which IT asset management platforms automatically initiate device retrieval on employee termination?

GroWrk, Rippling IT, Firstbase, Deel IT, Workwize and allwhere can all open a retrieval from an employee departure, but they differ in timing and control:

Platform What triggers the return When it starts
GroWrk HRIS event, or an offboarding scheduled in the dashboard On the event, or at the date, time and time zone you set, so nothing ships before the conversation
Rippling IT Offboarding in Rippling Immediately
Firstbase Daily sync with BambooHR, Workday, HiBob, ADP, Oracle HCM or Microsoft Entra ID The day after the effective termination date
Deel IT Workflow when a worker becomes Offboarded On status change, if the paid IT policy and asset prerequisites are met
Workwize HRIS offboarding event On the event, with pickup planned around the last working day
allwhere Workday and other integrations On the configured event
Retriever Your own API or ITAM integration Whenever your integration sends the request

Confirm that the connection actually creates a return order, not just an updated employee record.

How automated retrieval should work, step by step

  1. Receive an authorized departure event. Capture the source system, effective date, time zone and the earliest time the employee may be contacted. Voluntary and involuntary exits may need different timing.
  2. Resolve devices and instructions. List every assigned item, the return destination and method, and any legal hold. Missing contact details should raise an exception for a named owner.
  3. Create and acknowledge the return. Record a return ID and the provider's acceptance. A successful data sync alone doesn't prove a collection was booked.
  4. Protect data, keep the device managed. Revoke access and lock through your MDM if needed, but keep the device enrolled so it stays visible and wipeable.
  5. Coordinate communication and collection. Reach the former employee on a channel they can still use, with packaging, a label or a pickup slot.
  6. Monitor through receipt. Track milestones, flag missed ones, and match the returned serial number to the record.
  7. Inspect, wipe, decide. Wipe to NIST 800-88 with a certificate unless a hold applies, then store, redeploy, resell or recycle.

Before rollout, test a duplicate termination event and a changed departure date. Two copies of the same HR event shouldn't create two kits or two charges.

Which global IT asset management platforms support managing an existing distributed device fleet?

GroWrk, Deel IT, Firstbase, Workwize and allwhere all support devices you already own; Rippling first requires its own device management agent, and Retriever handles returns only. GroWrk covers the widest footprint, 150+ countries, and shows company-managed and GroWrk-managed devices side by side in one dashboard.

Most companies don't start from zero. In a hand-coded sample of 41 GroWrk new-business calls, an existing fleet or incumbent setup came up in 11 (27%). As one analytics software company of around 50 people put it: "Our 55 people already have a laptop. Lots need replacing, but a dozen are still brand new. Can you guys take them into your system?"

Importing records and authorizing a provider to handle the equipment are separate steps. In GroWrk, you upload existing devices as company-managed; management transfers to GroWrk only when you confirm it, for example when you order an offboarding, a swap or storage in a GroWrk warehouse.

How to onboard an existing fleet

  1. Reconcile devices. Match serial numbers and asset tags across purchase records, MDM, HRIS assignments and spreadsheets. Devices with no owner are your first retrieval list.
  2. Confirm ownership and location. Record whether each item is company-owned, leased or employee-owned, who has it and which country it's in.
  3. Check return eligibility. Device type, condition, service coverage, current contact details and the return destination.
  4. Assign responsibility. Decide who owns the record, who controls the endpoint and who collects and receives. Importing a row shouldn't silently change those.
  5. Pilot one real return. Retrieve a device bought outside the provider's catalog and confirm the original asset record gets the outcome. Then switch on HRIS triggers for every future exit.

The 8 best IT asset management platforms for device retrieval

We ranked each platform on six things: automatic start at termination, detection of stalled returns, who owns the chase, collection coverage, support for existing fleets, and what happens after receipt. Endpoint tools such as Intune, Jamf and NinjaOne aren't ranked: they lock and wipe devices remotely, which matters while a return is pending, but they don't collect hardware.

1. GroWrk: best for global retrieval and existing distributed fleets

GroWrk is a global IT asset management platform that procures, deploys, tracks, retrieves, wipes and redeploys employee devices across 150+ countries, with retrieval run as a managed service.

  • Starts automatically or on schedule. An HRIS event can open the retrieval, or admins schedule an offboarding by date, time and time zone, mark it voluntary or involuntary, and choose per device: GroWrk pickup, in-house pickup or kept by the employee. Any device can be placed on legal hold.
  • Catches stalls. Recovery and exception statuses, delayed-status notifications, and every failed pickup attempt recorded by GroWrk staff in the order history. GroWrk's team owns follow-up with the employee and escalation.
  • Takes over existing fleets. Upload devices as company-managed and transfer them to GroWrk when you order a service; GroWrk can tag assets and enroll devices in Intune, Autopilot, Kandji or Apple Business Manager.
  • Closes the loop. Inspection, NIST 800-88 wipe with a certificate, local storage and redeployment on the same asset record. ServiceNow and Freshservice integrations sync every 24 hours; the Workday integration attributes costs to the right cost center.
  • Pricing. A la carte with no platform fee and a charge per retrieval, a Flex subscription with lower per-event costs, or Flex Plus at one all-inclusive rate per device. Management fees apply to devices stored in GroWrk warehouses.

What to test: the trigger from your HRIS, collection lead times in your top five countries, and who receives delay notifications on your side.

2. Firstbase: best for structured return milestones in established markets

Firstbase, owned by AppDirect since December 2024, supports legacy fleets as well as devices bought or leased through it, and reports recovering over 97% of devices (vendor figure).

  • Trigger. Offboarding integrations with BambooHR, Workday, HiBob, ADP, Oracle HCM and Microsoft Entra ID run once every 24 hours and offboard the day after the effective termination date. The only filter is country.
  • Tracking. Separate statuses for the order, the return kit and each item; every retrieval gets a kit.
  • Nonresponse. After repeated outreach over two weeks, support contacts the employee and the admin; if nothing changes in two more weeks, the ticket closes and the device is marked "not returned" and archived.

Watch out for: a built-in lag of at least a day, and administrative closure that isn't the same as physical recovery. Coverage isn't published, and buying runs through AppDirect technology advisors.

3. Rippling IT: best for Rippling customers in the US, Canada, UK, EU and Australia

Rippling IT combines device management, identity and inventory management on Rippling's HR platform.

  • Trigger. Offboarding in Rippling sends a box with a prepaid label immediately and applies your chosen data action: lock, soft wipe or full wipe.
  • Stalls. Return reminders, plus a documented workflow that alerts IT by email, Slack or Rippling notification, and can open a task, when a terminated employee's device is overdue.

Watch out for: retrieval shipping and warehouses are listed only for the US, Canada, UK, EU and Australia; Inventory Management requires Rippling Device Management; data erasure certificates arrive about three weeks after processing. Rippling came up in 166 of our 3,977 buyer calls, often from companies using it for HR but needing another provider elsewhere.

4. Deel IT: best for policy-based recovery inside Deel

Deel IT covers procurement, deployment, repair, recovery, storage and retirement across 130+ countries, and says its lifecycle services apply to devices already in the field, not only those bought from Deel.

  • Trigger. Its Workflow Builder can start collection automatically when a worker becomes Offboarded, with execution history and email alerts when a workflow fails; actions include tasks, email and Slack.
  • Pricing. Per user: bundles published at $49, $139 and $149 per user per month since September 2026.

Watch out for: a workflow-failure alert covers a different risk from a return that stalls after it starts. Per-user pricing also covers employees without a device.

5. Workwize: best for HRIS-driven returns with escalation messages

Workwize is an Amsterdam-based hardware lifecycle platform with 14+ warehouse locations and claimed coverage of 100+ to 130+ countries.

  • Retrieval. HRIS offboarding events trigger returns via prepaid label or courier pickup, with automated reminders, escalation messages and outstanding-asset reports; its Remote integration adds overdue-return notifications.
  • Pricing. Per seat plus a platform fee: Basic is $8 per seat plus $540 a month for up to 50 active seats.

Watch out for: seats charged per imported user, and independent reviews citing regional shipping delays. Ask what starts the escalation clock and who receives it.

6. allwhere: best for managed retrieval communication in the US and Canada

allwhere is a Brooklyn-based IT asset service that started in laptop retrieval, with a Canada depot opened in February 2026.

  • Retrieval. Syncs existing inventory, shows equipment with employees, in transit and in storage, and sends tracking updates and reminders when a return runs late. Its Workday integration automates retrieval. It reports 91% retrieval success (vendor figure).
  • Pricing. Per transaction, no seat fee.

Watch out for: coverage isn't published as one number, and employee reminders aren't the same as an alert to your IT team. Check its services-by-region list for every country you need.

7. Retriever: best for adding pay-per-return service to an existing stack

Retriever is a US-based laptop and monitor return service. Retriever Enterprise adds a return portal, tracking, employee communications and an API; customers build their own HRIS or ITAM integrations, and the company is notified after the final employee reminder.

  • Pricing. The Starter plan is $95 per laptop and $195 per monitor.

Watch out for: its documented kit service relies on employee drop-off rather than home pickup, international requests run through a separate process, and there's no fleet record, storage or redeployment.

8. AssetSonar: best as the custody record a retrieval provider updates

AssetSonar, from EZO, is ITAM software that can ask employees to confirm they hold a device, useful for establishing your starting inventory before offboarding. It starts at $1 per asset per month. It doesn't collect devices, and a custody acknowledgment isn't proof a device shipped or arrived, so pair it with a retrieval provider and decide which system owns each device's final status.

How to evaluate global retrieval support and cost

Ask each provider to map collection, receiving, storage, repair, redeployment and retirement for every country you employ people in, including cross-border legs, customs, language support and who owns shipping exceptions. A supported country doesn't guarantee local receiving or storage, and a reseller rarely helps here. As one IT buyer told us: "In El Salvador and the Philippines… there's no VARs out there that could just ship the devices. And there's also no one to collect."

Get the return method in writing for each route: home pickup, carrier drop-off or another arrangement. Agree how exceptions reach your team across time zones, the response commitment and the escalation contact.

Compare the full cost of a year of exits, not one return: platform or policy fees, packaging, collection, failed attempts, transport, insurance, receiving, inspection, wipe, storage, redeployment and disposition. Ask what you pay when a device is never returned, or comes back after the case closes. Pricing models vary widely: per return (Retriever from $95 per laptop), per transaction (allwhere, GroWrk a la carte), per seat (Workwize) or per user (Deel IT).

A demo that tests retrieval, not slides

Give every finalist the same scenarios: an existing laptop bought elsewhere, a scheduled involuntary exit, a duplicate termination event, an unresponsive employee, a failed pickup, a shipment with no carrier movement, and a box containing the wrong serial number. For each, ask to see the return record, the alert, who receives it, the next action and the asset update. Separate what's in the proposed plan from configuration or integration work you'd have to do.

Pilot metrics

  • Trigger coverage: eligible departures with an acknowledged return request, divided by eligible departures.
  • Completion rate: returns received and reconciled, divided by returns resolved (report cancellations separately).
  • Recovery within target: devices received and reconciled by the deadline, divided by devices due back in the period.
  • Stall response time: time from a missed milestone to an assigned owner and a recorded next action, plus any missed alerts.
  • Ready-for-reuse time: days from receipt to wiped and available, with holds shown separately.
  • Open exposure: outstanding devices by age, country, blocker and owner, including cases closed without recovery.

Frequently asked questions

What is the best IT asset management platform for device retrieval?

For distributed companies with employees in many countries, GroWrk is the strongest fit: HRIS-triggered or scheduled retrieval, recovery and exception statuses with delayed-status notifications, collection in 150+ countries, and wipe, storage and redeployment on one record. Rippling and Deel IT suit companies already on those HR platforms in the countries they cover.

Which IT asset management platforms flag stalled device retrievals?

GroWrk records recovery and exception statuses, delayed-status notifications and failed pickup attempts, and its team owns follow-up. Rippling can alert IT when a terminated employee's device is overdue, Firstbase escalates nonresponsive employees to the admin, and Workwize sends escalation messages. Test each with a real stalled case.

Can a platform flag a return that has no tracking updates?

Only if it has an inactivity rule tied to a milestone, such as no carrier scan within a set window after kit delivery. Status-change notifications and employee reminders alone don't prove that an unchanged record will raise an alert, so ask the vendor to demonstrate that exact case.

Which platforms start device retrieval automatically when an employee is terminated?

Rippling starts it immediately on offboarding in Rippling. GroWrk starts it from an HRIS event or at a date and time you schedule. Firstbase starts it the day after the termination date via a daily HRIS sync, and Deel IT, Workwize and allwhere start it from configured offboarding events.

Can I retrieve devices the provider didn't sell me?

Yes, with GroWrk, Deel IT, Firstbase, Workwize or allwhere. In GroWrk you import existing devices as company-managed and transfer them when you order a retrieval. Check device eligibility and coverage per country.

When should a device return be marked complete?

When the expected device is physically received and its serial number reconciled. Track inspection, wipe and the next destination as later milestones, and keep the case open until any hold or remaining action is recorded.

What happens when a former employee doesn't respond?

The provider should follow an agreed reminder and escalation process, record every contact attempt and tell your designated owner what's needed. In GroWrk's data, open retrievals waiting on the employee outnumber those waiting on IT 2.5 to 1. Keep the device outstanding until it's recovered or given another approved outcome; closing a ticket isn't recovery.

Should you wipe a laptop before it's returned?

Usually not. Lock it and revoke access but keep it enrolled so it stays visible. Wipe to NIST 800-88 after receipt, with a certificate per serial number, unless it's lost or under legal hold.

How much does device retrieval cost?

Per return services such as Retriever start at $95 per laptop. Per-transaction models include allwhere and GroWrk a la carte, while Workwize and Deel IT include retrieval in per-seat or per-user subscriptions. Compare a full year of exits, including failed attempts, storage and wipe.

Do I need to replace my MDM to automate retrieval?

No. Your MDM keeps supplying endpoint data and security actions such as lock and wipe, while the retrieval platform handles triggers, communication, logistics and receiving evidence.

Put GroWrk through your retrieval scenarios

GroWrk runs device retrieval inside one IT asset management platform: HRIS-triggered or scheduled offboarding, recovery and exception statuses with delayed-status notifications, collection in 150+ countries, and NIST 800-88 wipe, local storage and redeployment on the same record. Bring your employee countries, your existing asset records, your HRIS and a few stalled returns from last quarter, and we'll show you how each one would be collected, tracked and closed.
