Best IT Asset Lifecycle Platforms for Remote Teams (2026)

Written by GroWrk Team | Oct 30, 2026, 6:36:58 AM

The best IT asset lifecycle management software for a company with no offices is a platform that runs full device lifecycle management: it physically ships, stores, retrieves and wipes laptops in every country you hire in, not one that only tracks them. Without an office, you still need a receiving address for returns, secure storage, device inspection and someone accountable when a shipment or retrieval stalls.

  • GroWrk: best overall for fully remote teams hiring across many countries. 150+ countries, local storage, pay-as-you-go pricing with no platform fee.
  • Deel IT: best if you already run payroll or EOR on Deel and want devices in the same suite. Priced per user.
  • Workwize: best for mid-market teams concentrated in Europe that prefer a seat-based subscription.
  • allwhere: best for US and Canada-heavy teams that want a managed service billed per transaction.
  • ZenAdmin: best for smaller teams consolidating devices with SaaS, identity and helpdesk.
  • Firstbase: best for companies already buying through an AppDirect technology advisor.
  • AssetSonar: best system of record for teams that already have a logistics partner.
  • Freshservice: best when asset records should live inside the service desk.
  • ServiceNow Hardware Asset Management: best for enterprises already standardized on ServiceNow.

Our recommendation: start with GroWrk if your main job is running the hardware lifecycle across countries while connecting to the HRIS, MDM and ITSM tools you already use. Then test every shortlisted vendor against your real country mix, workflows and full-year cost, using the tests later in this guide.

About this comparison: Published by GroWrk, which makes one of the platforms listed. Rankings reflect public product information, GroWrk's analysis of 3,977 buyer calls and suitability for remote hardware operations. They are not a hands-on benchmark or an independent ranking. Product information was checked on October 29, 2026. Country counts are vendor-reported; confirm services and delivery commitments for your markets.

What IT asset lifecycle management software should do for remote teams

IT asset lifecycle management software coordinates every company device from acquisition through assignment, support, recovery, reuse and retirement. For a distributed company, that means both the digital record and the physical handoffs between employees, couriers, warehouses and service partners.

Three responsibilities need a clear owner:

  • Asset governance: serial numbers, ownership, custody history, purchase data, warranty and lifecycle status.
  • Endpoint control: MDM enrollment, security policy, software and authorized remote actions such as lock or wipe.
  • Physical execution: sourcing, configuring, shipping, collecting, inspecting, storing, repairing, redeploying and disposing of equipment.

Office-based companies cover physical execution with a storage room and a desk. A fully remote company has neither, and often has no legal entity where the new hire lives. That is why the category has split: full-service lifecycle platforms combine software with global logistics, while ITAM software records what happened and relies on you or a reseller to make it happen.

The eight stages of a remote device lifecycle

  1. Procure from a regional catalog, with duties and taxes shown before ordering.
  2. Configure and enroll in Intune, Jamf or Kandji before the device ships.
  3. Deliver to the employee's home with tracking the hiring manager can see.
  4. Track one record per serial number, synced from MDM and HRIS.
  5. Support and repair locally, ideally with a loaner from nearby stock.
  6. Retrieve automatically when HR records an exit.
  7. Store and redeploy near future hires, then return to stage 3.
  8. Retire with a NIST 800-88 wipe certificate, then resell, donate or recycle.

Where the work actually sits

Most lists focus on deployment and country counts. IT buyers ask about the middle of the lifecycle. In GroWrk Call Intelligence, an analysis of 3,977 customer calls from April 2024 to August 2026, these topics were raised by the buyer before any GroWrk rep mentioned them:

Topic buyers raised first Share of 3,977 calls
Storage and warehousing between hires 22.8%
Offboarding and device retrieval 22.6%
MDM enrollment before shipping 22.0%
Speed and lead time 17.9%
Certified wipe, SOC 2 or destruction 12.1%
HRIS integration 11.9%

The top three are effectively tied, and all three happen after the first laptop ships. If a platform can't show you stages 2, 6 and 7 working in your hiring countries, you are buying a tracker, not a lifecycle platform.

How we evaluated these platforms

We judged each platform on seven criteria, weighted toward the stages remote buyers raise most. Vendor figures come from each vendor's site, documentation or pricing page as of October 29, 2026.

  1. Global coverage by service. Not just delivery: procurement, storage, retrieval and disposal in each country. India, Canada, Brazil, Mexico and the Philippines were the five most-discussed deployment countries in our calls; India led with 665 of 3,977.
  2. MDM enrollment before shipping. The device should arrive enrolled in Intune, Jamf or Kandji, with policy applied.
  3. Storage between hires. Returned devices should wait in a hub near the next employee.
  4. Retrieval. HRIS-triggered collection, packaging, follow-up on failed attempts and reconciliation on receipt.
  5. Certified wipe and disposal. NIST 800-88 erasure with a certificate per serial number, plus buyback or recycling.
  6. Pricing model. Per device, per event, per user or per seat. Buyers in our calls rarely called a vendor "expensive"; they objected to paying for things they didn't use, such as seats for employees with no device or annual commitments for regions with a few hires.
  7. Integrations. HRIS (Rippling, BambooHR, Workday, HiBob), MDM, identity (Okta, Google Workspace) and ITSM (ServiceNow, Freshservice, Jira).

We left out endpoint and RMM tools such as NinjaOne. They matter for device health and remote control, but they don't procure, ship, store or retrieve hardware.

The 9 best IT asset lifecycle platforms for remote teams

1. GroWrk: best for fully remote teams hiring in many countries

GroWrk is a full-service IT asset lifecycle platform that procures, configures, ships, stores, retrieves, wipes and redeploys employee devices across 150+ countries from one dashboard.

What it does well

  • Local procurement and storage. Devices are sourced and stored in-region, so returned laptops wait near the next hire instead of crossing borders twice. GroWrk delivers in under seven business days.
  • Enrollment before shipping. Devices are configured and enrolled in your MDM before they leave the hub, so employees log in on day one.
  • Integrations that sync both ways. 40+ integrations and an open API connect HRIS, MDM, identity and ITSM tools. The ServiceNow and Freshservice integrations let you choose import, export or bidirectional sync, pick the fields, and resync automatically every 24 hours.
  • Itemized invoices. Since May 2026, invoices list device cost, shipping, taxes and GroWrk's service fee as separate lines.
  • Security evidence. SOC 2 Type 2, NIST 800-88 wiping and a certificate per device.

Pricing. A la carte has no platform fee; you pay per order. Flex adds a platform fee with lower per-event costs for teams of about 100 employees and up, and bundles configuration, hardware support, insurance, data wiping and intake. Flex Plus is one all-inclusive rate per device covering deployments, retrievals, warehousing and repairs.

Watch out for. Leasing is US-only; elsewhere GroWrk offers buyback. GroWrk works with your MDM and service desk rather than replacing them.

Validate before buying. Use GroWrk's country guide to separate full-service markets from on-request ones, and confirm stock, storage location and lead time for your top hiring countries.

2. Deel IT: best if you already run HR or payroll on Deel

Deel IT is the device module of Deel's workforce platform. It covers procurement, configuration, deployment, repairs, recovery, storage and retirement across 130+ countries, alongside access management, endpoint security and IT support. Deel acquired Hofy and has folded it into Deel IT.

What it does well. One vendor and one employee record for contracts, payroll and laptops. Deel also supports existing company-owned devices, so fleet migration can be part of the deal.

Pricing. In September 2026 Deel moved Deel IT to per-user bundles, published at $49, $139 and $149 per user per month depending on scope.

Watch out for. Per-user pricing covers every enrolled employee, whether or not they hold a company device. Some buyers we spoke with were still unsure what the Hofy transition meant; one IT lead told us, "Since Deel bought Hofy, I don't know what they're going to do."

Validate before buying. Ask for the exact package, supported HRIS workflows, and charges for active and stored devices.

3. Workwize: best for mid-market teams concentrated in Europe

Workwize is an Amsterdam-based hardware lifecycle platform covering procurement, deployment, tracking, storage, retrieval and disposal. Its current materials claim coverage in 130+ countries (older pages say 100+ or 120+) and 14+ warehouse locations.

What it does well. A strong European supplier network, a hands-on service reputation and zero-touch deployment with Jamf, Intune and Kandji.

Pricing. Seat-based. The published Basic plan is $8 per seat plus a $540 monthly platform fee for up to 50 active seats; Professional is $11 per seat. Some reviews report higher seat minimums on larger plans.

Watch out for. Seats are charged per user imported, which can include people with no device. Independent reviews mention regional shipping delays and Intune device-association gaps. One buyer told us a Workwize rollout stalled because it had no Brazilian entity.

Validate before buying. Ask where a returned device goes in each country. A supported delivery destination is not the same as a local warehouse.

4. allwhere: best for US and Canada-heavy teams that want a managed service

allwhere is a Brooklyn-based IT asset service that handles procurement, storage, deployment, repair, retrieval, wiping and resale. Its dashboard shows devices assigned, in transit and in storage, and it can deploy using your existing MDM. It opened a Canada depot and local entity in February 2026.

What it does well. Retrieval is its heritage. It reports 96% on-time delivery and 91% retrieval success (vendor figures) and supports NIST-level wiping with compliance documentation.

Pricing. Per transaction, with no perpetual seat fee.

Watch out for. allwhere doesn't publish a country count on the pages we reviewed, and competitor comparisons put it well below 100. Transaction pricing is flexible but harder to forecast in a heavy hiring year.

Validate before buying. Request a full-year quote using your expected hires and exits, not a single-transaction price.

5. ZenAdmin: best for smaller teams consolidating IT tools

ZenAdmin, founded in 2022 in Singapore, combines device procurement, warehousing, shipping and retrieval with SaaS management, identity and access, MDM and an IT helpdesk. Its materials cite 130+ to 150+ countries and 130+ integrations.

What it does well. Breadth. A company without an IT department can run devices, apps and access in one place.

Pricing. Quote-based bundles.

Watch out for. Hardware is one part of a wide suite. If devices are your main workload, compare storage, repairs and retrieval SLAs against hardware-first platforms.

Validate before buying. Separate native capabilities from integrations and partner-delivered services.

6. Firstbase: best for buyers already working with an AppDirect advisor

Firstbase pioneered remote equipment management and was acquired by AppDirect in December 2024. It covers procurement, deployment, tracking and retrieval, with an emphasis on reuse and redeployment.

What it does well. A mature workflow product and a focus on redeploying existing equipment.

Pricing. Through AppDirect, which said after the acquisition that customers access Firstbase through technology advisors.

Watch out for. Channel-only buying adds a party to every renewal and escalation.

Validate before buying. Confirm current country coverage, roadmap and who owns support.

7. AssetSonar: best system of record alongside a logistics partner

AssetSonar, from EZO, is ITAM software covering hardware and software assets, custody, assignments, reservations, audits, warranties and shipment records, with discovery through Jamf, Intune and SCCM.

What it does well. Accurate inventory, custody verification and audit reporting at a low per-asset price.

Pricing. The ITAM plan starts at $1 per asset per month.

Watch out for. It does not ship, collect or store devices; EZO's own guide says ITAM software can't physically ship hardware.

Validate before buying. Map each workflow to whoever physically ships, collects and inspects equipment.

8. Freshservice: best when assets should live inside the service desk

Freshservice is Freshworks' IT service management tool, with asset discovery, requests, procurement records, assignments and a CMDB.

What it does well. Tickets, assets and changes in one place, so hardware history informs support and replacement decisions.

Pricing. Per agent, from about $19 per agent per month on entry plans; deeper ITAM sits on higher tiers.

Watch out for. It doesn't ship or retrieve hardware.

Validate before buying. Define how off-network laptops report data and how a logistics partner receives tasks and returns completion evidence.

9. ServiceNow Hardware Asset Management: best for enterprises already on ServiceNow

ServiceNow HAM runs hardware lifecycle workflows connected to the CMDB, with financial, contract and inventory tracking and tasks for deployment, replacement, retirement and audit.

What it does well. Lifecycle governance inside existing enterprise approval and service processes.

Pricing. Quote-based, typically enterprise-scale.

Watch out for. A workflow that assigns a collection task still needs a fulfillment provider, and implementation needs a platform owner.

Validate before buying. Pair it with a lifecycle provider that integrates with ServiceNow, and test the sync before rollout.

How to choose the right platform

Start from where your employees live, how your headcount moves and who will physically handle the hardware, not from feature lists.

If your company… Start with Why
Has no offices and hires in 10+ countries, including India, Latin America or Southeast Asia GroWrk Broadest stated coverage, local storage and pay-as-you-go pricing
Already runs EOR or payroll on Deel and wants one vendor Deel IT Devices follow the same employee record; accept per-user pricing
Is mostly in Western Europe and prefers a fixed seat subscription Workwize European supplier depth and predictable seat pricing
Is mostly in the US and Canada with irregular hiring allwhere or GroWrk A La Carte No platform fee; you pay when devices move
Has no IT team and wants devices, apps and access in one tool ZenAdmin Broad suite in one contract
Already has dependable logistics and needs better records AssetSonar or Freshservice Strong system of record; keep fulfillment where it is
Runs IT on ServiceNow at enterprise scale ServiceNow HAM plus a lifecycle provider Governance in ServiceNow, physical work by a provider that syncs with it

Five questions that expose gaps in a demo

  1. "Show me delivery and retrieval SLAs for our top five hiring countries." For India, ask how they handle e-way bills and import duties.
  2. "Where will a returned laptop from [city] be stored, and how fast can it reach the next hire?" No local storage means two international shipments per redeployment.
  3. "Does the device arrive enrolled in our MDM?" That is the difference between a day-one login and a day-three ticket.
  4. "What do we pay for an employee with no device?" Per-seat and per-user models can bill your whole headcount.
  5. "Can you take over the laptops we already own?" Most remote companies already have a fleet on desks.

What about resellers like CDW?

A reseller can procure and image devices well where it operates. The gaps are everywhere else, and the return trip. As one IT buyer told us: "In El Salvador and the Philippines… there's no VARs out there that could just ship the devices. And there's also no one to collect."

Six tests for global logistics and lifecycle control

Compare vendors using the same employee countries, device standards and scenarios. These tests reveal more than a feature checklist.

1. Confirm coverage for every service, not every country

For each country, ask about local procurement, configuration, delivery, retrieval, storage, repair, redeployment and end-of-life processing. Record where each is fulfilled and how long it takes. A provider may deliver to a country while storing returns somewhere else, so check the route and its cost before calling that market covered.

2. Trace onboarding from approval to a working device

Watch an approved hire become a request, a stock allocation or purchase, a configuration task, a shipment and a confirmed receipt. Check keyboard layouts, power adapters and MDM enrollment. Ask what happens when the preferred model is out of stock or the start date moves, and require an availability check before accepting a delivery date.

3. Define what a completed retrieval means

A return label is an instruction. A carrier scan shows movement. Warehouse receipt confirms arrival. Inspection establishes what came back and whether it can be reused. Agree who contacts the employee, supplies packaging, follows up after failed attempts and owns escalation, and count a retrieval as complete only at receipt and serial-number reconciliation.

4. Tie every asset record to evidence

Each record should link the serial number, employee, location, custody history, condition, shipment references and lifecycle state, with a source and timestamp per event. Ask to see one device move from recovery requested to in transit, received, inspected and available. Shipment status, physical custody and MDM check-ins answer different questions: an offline laptop may still be with the employee.

5. Test integration behavior, including failures

For each integration, establish which fields sync, in which direction and how often, then test duplicates, failed requests and conflicting updates. For example, GroWrk's ServiceNow integration supports import, export or bidirectional sync with an automatic resync every 24 hours; any event-driven workflow you need should be validated separately. Name one system as the source of truth for each field so a departed employee doesn't stay assigned to a returned device.

6. Verify retirement and data handling per device

Request sample custody records, inspection evidence and device-level erasure or destruction certificates. Ask who authorizes processing and what happens when a device is locked or under legal hold. A SOC 2 report supports vendor diligence, but each asset still needs evidence of what was done to it.

How to compare the total cost before you commit

The pricing model decides more of your bill than the headline rate. Four models dominate the category:

Model You pay for Used by Works best when
Pay-as-you-go, no platform fee Each order, retrieval or storage event GroWrk A La Carte, allwhere Hiring is irregular or concentrated in a few months
Platform fee plus per-event charges A monthly fee, then discounted events GroWrk Flex, Workwize Steady hiring at 100+ employees
All-inclusive per device Each device under management GroWrk Flex Plus You want one predictable number for Finance
Per user or per seat Every enrolled employee Deel IT, Workwize Nearly every employee holds a company device

Then model a full operating year with the same assumptions for every vendor: current fleet, employee countries, expected hires and exits, spare stock, repairs and planned retirements. Include platform and implementation fees, integrations, hardware markup, delivery, retrieval and packaging, storage, inspection, wiping, repairs, redeployment, disposal and resale proceeds, plus the internal hours still needed to coordinate it all.

Keep avoided purchases separate from resale revenue. Reusing a laptop defers a purchase; selling it is a different outcome. And ask how charges change when hiring slows, an employee doesn't return a device, a laptop sits in storage or you leave the service.

Run a pilot before you commit

Pilot in two or three representative countries before moving the full fleet. Include an existing device, a new purchase, a returned laptop fit for reuse and at least one exception, such as an unresponsive employee or an out-of-stock model.

Pilot scenario Evidence to request
New hire Approved request, stock or sourcing plan, MDM enrollment proof, tracking and confirmed receipt
Offboarding Contact attempts, packaging or collection record, carrier events, warehouse receipt, serial-number reconciliation
Redeployment Condition check, processing approval, completed preparation, assignment to the next employee
Retirement Authorization, custody history, outcome and erasure or destruction certificate
Failed handoff Recorded blocker, accountable owner, next action and escalation deadline

Agree on metric definitions before you start:

  • On-time delivery: deliveries completed by the agreed date, divided by deliveries due in the period.
  • Recovery within target: devices received and reconciled by the deadline, divided by devices due back in the period.
  • Ready-for-reuse time: hours from warehouse receipt to approved availability for reassignment.
  • Manual effort: internal minutes per completed deployment or retrieval.
  • Open exceptions: cases by age, blocker, owner and next action.

Report by country where volume allows, and separate the vendor's processing time from the total time your employee experienced.

Frequently asked questions

What are the top IT asset lifecycle management platforms for companies with no offices?

The top platforms for companies with no offices are GroWrk, Deel IT, Workwize, allwhere, ZenAdmin and Firstbase, because they combine asset tracking with physical logistics in the countries where employees live. GroWrk ranks first for multi-country remote teams, with 150+ countries, local storage and pay-as-you-go pricing. AssetSonar, Freshservice and ServiceNow suit teams that already have a fulfillment partner.

What is the best IT asset lifecycle management software for remote teams?

For remote teams spread across many countries, GroWrk is the strongest fit because it handles procurement, MDM-ready deployment, storage, retrieval and certified disposal in one platform. Deel IT fits companies already on Deel; Workwize fits Europe-centered teams.

What is the difference between ITAM and IT asset lifecycle management?

IT asset management (ITAM) governs records: what you own, who has it, what it costs. Lifecycle management covers the transitions from purchase to retirement, including the physical work. For remote companies the practical question is which actions the software records, which it triggers and which the provider physically performs.

Does lifecycle software replace an MDM like Intune or Jamf?

Usually not. An MDM secures and configures enrolled devices and can lock or wipe them remotely; it doesn't buy, ship, store or collect hardware. Most remote companies run both, with the lifecycle platform enrolling devices into the MDM before shipping.

How can a remote company retrieve laptops without an office?

Use a laptop retrieval provider that contacts the departing employee, sends packaging or books a courier, tracks the return to a local warehouse, then confirms the serial number and condition on receipt. Ideally the HRIS exit triggers it automatically, with agreed escalation for failed collections.

Where should returned laptops be stored between employees?

In a warehouse in the same region as your future hires. Storing devices near where they'll be reused avoids paying for two international shipments and customs clearance each time a laptop changes hands.

How is IT asset lifecycle management software priced?

Four models are common: pay-as-you-go per event, platform fee plus per-event charges, an all-inclusive rate per device, and per user or per seat. Per-user and per-seat models bill employees who may not hold a device, so compare full-year costs using your real fleet and hiring plan.

What is a good alternative to Deel IT for device management?

GroWrk is the closest alternative for companies that want device lifecycle depth without an HR suite. It covers 150+ countries and prices per device or per event rather than per user. Workwize is an option for Europe-centered teams.

Can remote asset platforms track monitors and peripherals?

Yes, if their inventory model supports those types. Record the employee, location, status and an identifier, using an asset tag when there's no reliable serial number, and decide which accessories are worth recovering.

What security certifications should a device lifecycle provider have?

Ask for a SOC 2 Type 2 report, a documented chain of custody per device and NIST 800-88 data erasure with a certificate per serial number. For EU employees, confirm GDPR-compliant handling of devices that may hold personal data.

Can one platform manage a global fleet by itself?

A platform can coordinate the whole lifecycle, but suppliers, carriers, warehouses and your MDM are still involved. Ask which services the vendor owns, which partners perform them and who is accountable when a handoff fails.

Can a lifecycle platform take over laptops we already own?

The better ones can. Ask whether the provider will import your existing fleet, collect and store spares, and redeploy them before you buy new hardware.

Evaluate GroWrk against your actual fleet

GroWrk is built for the company with no offices: procurement, MDM-ready deployment, local storage, retrieval, redeployment and certified retirement across 150+ countries, connected to the HRIS, MDM and ITSM tools you already run. Bring your employee locations, device standards and expected hires and exits, and we'll show you service coverage, lead times and a full-year cost for your mix.
